How to publish VisualTime schedules to a Google Calendar

In order to publish scheduled activities from VisualTime to Google Calendar, the following conditions should be met:
  • The minimum required version is VisualTime 1.58.95.
  • VisualTime should be enabled and configured for Google Calendar publishing by the VisualTime system administrator. For details on how to this please refer to the following document: http://support.visualtime.com/KB/a12/how-to-configure-google-calendar-publishing-feature.aspx
  • A VisualTime scheduled activity should be flagged as Public and its status must be set as Approved in order to appear on the Google Calendar.
The following Google Calendar event fields can be populated from VisualTime:

  • Event Title: Activity name as defined in the VisualTime Activity applet.
  • When: Date and time as defined in the VisualTime Activity applet. The Time zone is based on the the time zone of the main resource which is controlled by the time zone configured for the VisualTime Site where that resource belongs.
  • Where: Site name (Location name) - Resource Type, as defined in VisualTime for the name of the site, location and resource type to which the main resource of the activity belongs.
  • Google Maps link: The Google maps link is automatically generated by Google and it's a query to the Google Maps service based on the location information provided by VisualTime. The following string is used by Google to determine the map location of the published event: The Position field data supplied by the user in the VisualTime Activity details applet when saving the activity. If the field has no value, the Position field data from the Resource details applet will be used. If the Position field from the Resource details applet has no value, the Where string above will be used.
  • Color: If an activity type is selected when scheduling the activity, then the corresponding published activities will be automatically assigned the Google Calendar Events colors as defined in the VisualTime Activity Types applet.
  • Icon: The same as for the activity type the corresponding published activities will be automatically assigned the Google Calendar Events icons as defined in the VisualTime Activity Types applet. Note: for this feature to work, the Google Calendar Icons should be enabled in the Labs tab in Google Calendar.
  • Description: The Event Description is populated form the Notes field in the VisualTime Activity details applet. If the activity is marked as Private, the Event Description will not be populated when the activity is published to Google Calendar.
